This guide explains how to prepare and upload group image data so OrderPix can match individual student images to the correct group, class, grade, homeroom, teacher, or team photo.
Overview
If your project requires matching individual images to groups or classes, the following workflow will help you match each group or class photo to the correct child.
Before the shoot, review the school or organization data file. Most schools will already include a field such as:
- Grade
- Homeroom
- Teacher
- Team name
Identify which field will be used for the group photos before photographing the project. If the group information is not included in the original Excel file, ask the school for a new file that includes the needed group field. This helps prevent manual group matching after the shoot.
Important Notes About Appending OPS Data
This process requires appending your existing project data in OPS. It is very important to follow the instructions carefully so the project does not become corrupted with duplicate data.
Do’s and Don’ts
- When adding data to your project, such as group image file names, limit the appended file to the existing OPS project data fields needed for matching.
- Use the Ticket Code or Student Password.
- Include the group name field, such as Teacher, Homeroom, Grade, or Team.
- Include the groupimage column containing the .jpg file name.
- Never upload appended data without the OPS Ticket Code or Student Password included.
- The only exception is when adding a new student who was not included in the original posted data.
- Flow users: A ticket code is still needed for new subjects if ticket codes were generated in Flow.
Prepare the Group Image Data File
Use the group field from the school data, such as Teacher, Grade, Homeroom, or Team, to determine how group image files should be named.
For example, if the Teacher column is being used as the group name, rename the group photo files to match the teacher names exactly.
Example:
- Teacher name: BLONSHINE
- Group image file name: BLONSHINE.jpg
Important: Each group image file name must include .jpg at the end.
Sort the school project data by the selected group field, then add the matching group image file name to the groupimage column for each subject.
This method can also be used when grouping by grade or homeroom.
Examples:
- Grade group image: 001.jpg, 002.jpg, 003.jpg
- Homeroom group image: 0191.jpg
Tip for Windows users: When using numbered file names, pad the number with at least two zeros so files sort in the correct order. (Note: Inexperienced Excel users should check out this YouTube Video on Filling Down Columns: Auto Fill Data.)
Import and Merge the Group Image Data
After adding the group image file names to your data file, import and merge the updated school data with the group images.
Your new append data file should contain the same information as the original project file, with the only change being the addition of the group image .jpg file names.
Critical: The appended CSV file must contain the original Ticket Code column and data.
- Go to the project Subjects page.
- Click Subject Actions.
- Select Add / Merge Subject Data Only.
- Upload the appended CSV file with the group image file names.
Upload the Group Image Files
After uploading the appended data, upload the group image files.
- Go back to the Subjects page.
- Click Subject Actions.
- Select Add / Merge Image File Names Only.
- Upload the newly named group image files.
Follow the same upload steps you used when uploading individual image files.
Confirm Group Images Are Matched
Once both the updated data file and group image files are uploaded, the project Subjects page should display both the individual image files and the matched group files in each student’s gallery.
Congratulations! Your group files are now matched to each subject.
Next Step: Auto Crop Images
After confirming the group files are matched, proceed to Auto Crop Images in OrderPix.
- Go to the Subjects page.
- Click Subject Actions.
- Select Auto Crop Images (NEW).
