Appending project data allows you to add or update information in an existing OPS project without reuploading all original data. This is helpful when schools or organizations provide incomplete, outdated, or corrected data after the project has already been created.
1. Important Reminder
Never reupload all of your project data a second time. Doing so may create duplicate or corrupted data.
Instead, use an updated .CSV file to add or replace only the information that needs to change.
2. Special Note About Group Data
Group data file names should be included in the project’s initial data upload whenever possible. This helps ensure individual images are matched to the correct group image.
For recommended setup, refer to the Auto Group Matching workflow in the QR Code or Opticon Image Match instructions.
3. Do’s and Don’ts When Appending Data
Do
- Only include the columns that need to be changed or added.
- Always include the TicketCode or student password column.
- Use the existing OPS field names in your appended .CSV file.
Don’t
- Do not upload the full original data file again.
- Do not append data without the TicketCode or student password.
- Do not include unnecessary columns that are not being updated.
The only exception is when adding a brand-new student who was not included in the original data.
4. Flow Users
If your ticket codes were generated in Flow, a ticket code is still required for new subjects.
5. Editing Existing Text Data
Any field in your posted OPS data can be edited by adding the updated information to a new appended .CSV file.
Example: To change a first name from Michael to Mike, enter Mike in the First Name field and include the subject’s TicketCode.
OPS will update only that field and leave the rest of the subject’s data unchanged.
6. Appending Image and Group Data
Image and group data acts like an address that tells OPS which uploaded image files belong to which subject.
These instructions apply to OPS project data only. They do not necessarily apply to uploading new image files or replacing existing images.
7. Appending Image Names
To append image names, create a new appended .CSV file with these columns:
- First Name
- Last Name
- TicketCode
- Image Name
Enter the existing subject information and add only the new .jpg file name in the Image Name column.
OPS will not overwrite existing file names in the data. It will only add new image records for the new file names.
8. Adding Multiple Image Names
If a subject needs more than one image file added, separate each image file name with a semicolon.
Example:
DCS_123456.jpg;DCS_123457.jpg;DCS_123458.jpg
9. Replacing Existing Image Files
If you need to fix or replace image files already posted to OPS, name the edited image files exactly the same as the original files.
OPS will overwrite image files in the project if the replacement image file has the same name.
