Batch Proof Setup with Pre-Matched Data

Use this guide to create a Batch/Proof project in OPS using pre-matched data from an image matching program such as Photolynx Flow or NextGen Photo Solutions. 

Before You Begin

Before setting up your project, make sure the following items are completed:

• Your Stripe account setup is complete.
• Stripe Live Keys have been added to your OPS payment page.
• Your OPS price list is set up and ready for ordering.
• Your CSV file has been reviewed for accuracy.

CSV File Requirements

Your CSV file should include, at minimum, the following columns:

• First Name
• Last Name
• Ticketcode and/or Student ID
• Image Name, including the .jpg extension

Optional but recommended columns include:

• Teacher
• Grade
• Homeroom
• Parent email addresses

Parent email addresses are helpful if you plan to use OPS email marketing to notify parents when photos are available for review and purchase.

Create a Batch/Proof Project

1. Log in to your OPS Admin Page.
2. Click Projects.
3. Click Add a Project.
4. Complete the project information fields that apply to your project.
5. Select the appropriate price list.
6. Choose the correct order mode for your Batch/Proof project.
7. Click Save at the bottom of the page.

Upload Your Data and Images

1. Open the project.
2. Click the Subjects link.
3. Click the Subject Actions dropdown.
4. Select Add / Merge Subject Data and Images.
5. Click Add Data and Images.

Map Your Data Fields

1. Upload your CSV data file.
2. Map your CSV fields to the matching OPS fields.
3. Click Import Data.

Note: Password and Student ID are both mapped as the Student ID. You may also use the Ticketcode column in the Password field if preferred.

Select Image Files to Upload

1. Review the image processing settings.
2. Select your preferred File Color Correction option.
3. Click Select Image Files to Upload.
4. Browse to the folder containing your images.
5. Highlight all images that need to be uploaded.
6. Click Open.

OPS will automatically begin uploading the selected image files.

Review the Uploaded Project

Once all images are uploaded, OPS will open the project’s Subjects page. This page displays the uploaded images and matched subject data.

We recommend logging in to one subject’s gallery to confirm the project is displaying correctly before sharing it with customers.

Confirm the Project Is Ready for Ordering

After confirming that the subject data, images, and gallery display are correct, your Batch/Proof project is online and ready for ordering.
